Dear Prospective Vendor and/or Activity Provider,

We welcome your participation as a vendor or activity provider at Hamlin's annual Scream Fest. This is the first big event of Halloweenathon - Hamlin's month long Halloween party!

Scream Fest will take place on Saturday, October 12th, from noon - 5: 00 pm, at Hamlin Town Park, 1658 Lake Road.

Consider taking advantage of our multi-festival vendor discount. Sign up to be a vendor for 1 festival and get 50% off the registration fee for a 2nd festival. (Farm Fest, Scream Fest)*. Call our office 585-964-7222 to inquire about this fantastic deal!

Vendors must complete set up no later than 11:30 am and can not begin to clean up until at least 5:00 pm. 

If you would like to participate at Scream Fest, please review the attached event overview, rules, and regulations. Complete the application for online, or download it and return it to the address listed.

Applications are due by September 30, 2024 with applicable vendor fee in order to be registered. 

There is no charge for vendors who are also providing an activity that festival attendees can participate in free of charge. If a charge is required, then said activity would be considered a "vendor" and will be charged for their booth space. Activities must be approved by the Rec Department prior to the event.

Due to the nature of our event, we are looking for vendors/activities with Halloween specific themes/products/services; anything eerie, creepy, spooky, grim, Gothic, macabre, or paranormal! We understand that consultants for some companies may not be geared for that specifically, but we are looking for creative ways in which they can be. Please let us know how you would would make your vendor space conform to Scream Fest.

Also, we will permit no more than 1 representative per consulting company so first come, first served! All vendors will be subject to review so as not to enable too many types of the same product. If you represent a popular product, please call us first to make sure that no other representatives of the same company have already registered to be there.

Vendor Information and Regulations
 
-All events will be held rain or shine.
 
-Vendors are allowed a booth space of 12’x12’. Vendors supply their own tables, chair(s), and canopy/tent.
 
-Electricity will not be provided, and only contained and muffled generators are permitted.
 
-The Hamlin Recreation Department reserves the right to reject any prospective vendor application for any reason.
 
-If applicable, participants are responsible for collecting and reporting their own sales tax.
 
-Participants are responsible for removing all unsold items and debris from their area.
 
-Booth rental spaces will be assigned as applications are received and finalized during the last week prior to the event. Requests for specific locations will be considered but not guaranteed.
 
-Booth fee must be submitted with application.
 
-The Hamlin Recreation Department and The Town of Hamlin will not be responsible for damage, loss of personal property, personal injury, or accidents involving participants.
 
-For Products such as jewelry, painting, photography, or any items that enable multiple duplications, please submit images or website addresses for the review process. Tell us what makes your item different from other similar products.
